Duties & Responsibilities

  • Front Desk & Reception Duties:
  • Operate and manage the company switchboard: answer incoming calls, direct calls appropriately, take messages, and respond to queries.
  • Welcome and register visitors; inform relevant staff of their arrival and provide refreshments when required.
  • Manage visitor access and enforce access control protocols within office premises.
  • Maintain a clean, professional, and welcoming reception area.
  • Administrative Support:
  • Manage the boardroom schedule, including bookings, room setup, and availability tracking.
  • Monitor and replenish office supplies, including stationery, cleaning products, and groceries.
  • Coordinate with office cleaning staff to ensure workplace hygiene and cleanliness.
  • Assist with stock control, ordering supplies, and liaising with service providers.
  • Support the development and maintenance of departmental Standard Operating Procedures (SOPs).
  • Perform general administrative tasks and provide ad hoc support as required by management.
  • Logistics & Facilities Support:
  • Manage PPE issuance and stock control in line with safety protocols.
  • Oversee company vehicle usage:
  • Track driver behaviours and ensure safe driving practices
  • Compile weekly tracking reports and monthly vehicle usage reports
  • Conduct monthly inspections and report findings to relevant managers

Desired Experience & Qualification

  • Matric (Grade 12)
  • National Certificate or Diploma in Office Administration, Business Administration, or similar
  • Minimum 1 year experience in a reception or administrative support role
  • Professional appearance and demeanour
